2. Service Scope & Operating Model

Waykeeper is a local-first travel platform based in Pai, connecting travelers with trusted routes, guides, and operators across Northern Thailand. We currently operate four experience layers:

  • Explore: Local day tours, cave trips, scenic drives, sunset viewpoints, and slow adventures.
  • Move: Transfers, private car or van with driver, self-drive rentals, and long-distance connections.
  • Restore: Partner wellness and relaxation services such as massage, simple retreats, and soft wellness activities.
  • Circle: Referral and loyalty layer that rewards returning guests and word-of-mouth sharing.

Waykeeper curates routes, handles booking coordination, and sets quality and safety standards. On-the-ground execution is delivered by a mix of Waykeeper staff and independent local partners.

When a service is operated by a partner, Waykeeper acts as a coordinating platform and commercial counterparty, not as the physical tour operator.

3. Licenses and Insurance

3.1 Tourism and Business Licenses

Waykeeper operates in compliance with relevant Thai tourism and business regulations. This includes a registered tourism or business entity in Thailand. We hold, or will hold, appropriate licenses for arranging local tours and transport in Northern Thailand.

3.2 Insurance Coverage

To support safe travel and responsible operations, we maintain appropriate insurance cover where applicable:

  • Public liability coverage for certain third-party claims.
  • Accident coverage for guests on designated activities and routes.
  • Vehicle insurance for vehicles operated directly by Waykeeper or under our managed fleet.
Important: Insurance is not a substitute for your own travel insurance. We strongly recommend that guests carry personal travel or medical insurance that covers activities in mountainous and rural areas.

4. Terms of Service

4.1 About Waykeeper

Waykeeper is a local-first travel platform. By using our website, chat channels, or AI assistant, you agree to these Terms of Service.

4.2 Services and Role

We curate and coordinate local tours. In many cases Waykeeper acts as a coordinating platform: on-the-ground services are delivered by local guides, drivers, and venues. We set quality standards, but day-to-day field operations are handled by partners.

4.3 Booking and Confirmation

Bookings are made via our website and chat channels. A booking is confirmed only when you receive written confirmation from Waykeeper after payment verification. Confirmation messages always prevail over social media or old price lists.

4.4 Payments

Payments are processed via bank transfer or payment links. We do not store card numbers. Bookings may be cancelled if payment is not verified within the stated window.

4.5 Pricing & Availability

Prices varies by season. We always confirm final price before payment. Availability is not guaranteed until confirmed. We may update itineraries for safety or operational reasons.

4.6 Cancellations and Refunds

Each service may have its own policy (communicated before booking). No-shows are generally non-refundable. For force majeure/safety cancellations, we aim for the most reasonable option (reschedule, partial refund, or credit).

4.7 Safety & Risks

Travel in mountains carries natural risks. By joining, you agree to follow instructions, disclose health conditions, and use suitable gear.

To the maximum extent permitted by law, Waykeeper is not liable for injuries/losses resulting from failure to follow instructions, third-party acts, or force majeure events.

5. Booking, Changes, and Refund Policy

5.1 Booking Flow: Enquiry → Proposal → Confirmation & Payment → Final Written Confirmation.

5.2 Standard Cancellation (Single Day):
• 7+ Days: Full refund (minus fees).
• 3-6 Days: Partial refund or credit.
• < 72 Hours: Non-refundable (except safety/force majeure).

5.3 Changes: Subject to availability. Price differences must be confirmed. Closest alternative suggested if rules conflict.

5.4 Weather: In highlands, weather changes quickly. If unsafe, we adjust timing, offer safe alternatives, or provide credit/refund.

6. Privacy Policy and Data Protection

We collect minimum data needed (contact, booking details, payment evidence). Used to manage bookings, coordinate with partners, and improve safety.

We never sell data to advertisers. We share only with necessary partners (guides, banks) to deliver the service.

Booking records are kept for legal/safety purposes. You have rights to request access/correction/deletion subject to local law.

7. Safety, Risk, and Operational Standards

  • Safe Principles: Local-first knowledge, risk-aware routing, clear honest communication.
  • Standards: Licensed vehicles, briefed guides/drivers, limited group sizes, mandatory safety equipment usage.
  • Responsibility: Follow briefings, inform of medical needs, choose appropriate activities.

8. Community and Sustainability

Waykeeper is Local-First. We prioritize local guides and family-run businesses. Pricing balances fair partner earnings with traveler value. We avoid exploitative practices (no elephant riding) and encourage "Leave No Trace".

10. AI, Automation, and Human Review

Our AI helps with planning and info. It does NOT confirm bookings or make high-stakes safety decisions.

Human in the Loop

We escalate to humans for: Payments, Safety/Emergencies, Sensitive issues, or when AI is uncertain.
